Faced with constant growth, the company, Lucca, has experienced a significant expansion of its workforce, recruiting 220 new talents in 2023. This dynamic continues with the forecast of 165 additional hires for the year 2024, with the ambitious objective of reaching 1000 employees by 2025.

In this context, we will look at the strategy of Yani Halma, the IT Manager in Lucca, to effectively manage 1,000 people spread over 6 sites by 2025. By supervising an IT team of 4 people, Yani plays a role in establishing processes for Lucca employees to work optimally and efficiently with the appropriate IT equipment.

IT processes that are not adapted to a fast-growing company

Yani had difficulties managing computer hardware, he had to constantly update drivers and software, manage network performance problems and supervise the management of computer assets spread over 6 sites, with computers whose traces were sometimes lost.

Manual management of computer equipment

Initially, the management of the computer equipment at Lucca was entirely manual, with scattered information.

Two sources of information were used:

  • Lucca was for collecting employee data.
  • MDMs to access computer information.

Finally, the information was centralized in 1 same excel file.

For a Mac, we had to go to JAMF and then go to Lucca to identify the user and update our file.

Unreliable data on computer equipment

However, this method had some limitations:

It was time consuming for Yani and his department and they were never certain of the accuracy of the data because they were not sure that the excel file was up to date. In addition, the IT team used this same excel file in order to carry out on and offboarding.

We came back 3 weeks later to the Excel file and asked ourselves if it was still up to date.

The time-consuming nature of this task led to less and less buy-in from his IT team.

So, with its CTO, they started looking for a solution that would automate the management of HR actions and have Lucca's data and IT equipment directly updated on the same platform...

Surprising discoveries

Following the integration into the MDM, the Lucca IT Manager was able to identify workstations that presented errors. Some of them did not have an affected user, while others had users without an associated machine.

We were able to find a dozen workstations that we had not migrated because we had users who did not have a machine.

It also identified users who owned several workstations.

In just 2, 3 glances we were able to identify all these errors on the Rzilient platform.

A saving of time for the IT team on one and offboarding

The renewal of Lucca's computer park includes a hundred machines. The Rzilient solution then saved a considerable amount of time. As a result, they were able to focus on ancillary projects such as integrating Autopilot for developer positions.

The challenges of Lucca in 2024

Being a fast-growing company, Lucca must improve its various processes to reach a workforce of 1000 employees in 2024. One of Yani's big projects for this year is automating employee onboarding and offboarding processes, as well as managing processes with a roadmap. In addition, he plans to implement the Rzilient catalog soon. This would allow Lucca to order new or refurbished computer equipment available for purchase or rental and delivered quickly.
